Quote to invoice

Quotes and invoices with HST.Nobody retypes anything.

Write the quote on your phone between jobs. HST goes on the lines you choose, to the cent. Send it; the client approves it from their phone. When the work is done, the same quote becomes the invoice — the same lines, the same HST, the same total. Your hours and your materials are already in it.

Here it’s part of running the job, not an extra.

A CrewHub invoice from the sample company Northgate Construction: its logo and HST number, six lines with 13% HST on five of them, the total, and a block telling the client how to pay by Interac e-Transfer.
This is what your client opens. Your logo, your HST number, your payment terms. Sample invoice

The big picture

Keep track of every job, wherever you’re working.

Move between sites with your crew status, job progress, hours and paperwork on your phone. Check what needs attention before making the next call.

  • See crew assignments and clock-in status.
  • Review hours, pay totals and payment history.
  • Keep quotes, invoices and recorded payments with each job.
  • Share selected progress updates with clients.
The owner's crew screen: each worker with their trade, the jobs they are on and whether they are clocked in. The weekly schedule as a foreman sees it: a strip of days across the week and each worker set against the job they are on that day. The client's own project: how far along it is shown as a progress bar, their approved quote, and the latest finished work.
Less to catch up on

Hours recorded on site.Less admin after work.

07:02

Hours get recorded.

The crew clocks in against the job. You have a shift record to review instead of collecting everyone’s hours later.

10:18

Progress gets captured.

A photo goes onto the task and stays with the job. Share it with the client when it’s ready.

16:36

The day is ready to review.

Recorded hours feed the pay totals, and job updates are there to check. Less information to gather after the crew goes home.

Built from the workday

Built on site.Used on site.

CrewHub grew out of running a real construction crew. Early starts, changing jobs, patchy reception and paperwork after work shaped the app from the beginning.

The aim is simple: make the daily essentials easy enough to use while the work is happening.

Clock in. Find the job. Record the work. Get on with your day.
Built and used by a working construction crew.

Before you get started

A few questions.Clear answers.

01Do I have to move my whole business over?
Start with one active job and the people working on it. Try tracking their hours and keeping the job’s updates in CrewHub, then bring more of your work into the app as you’re ready.
02What will my crew need to do?
Start with clocking in and out. Workers can also check assignments, view tasks and add job photos. Each person can choose English, Ukrainian, Spanish, French or Russian.
03What happens without reception?
Clock-in and clock-out records save on the phone and sync when the connection returns. If location information is unavailable, the shift is flagged for review. Other features may need a connection.
04Are any features locked behind a higher plan?
No. Every plan includes all CrewHub features. Choose your plan by the number of workers you need to include.
05Do clients count toward my plan?
No. Clients join free and do not use worker slots. They can follow their project, view shared photos, review documents and message you in CrewHub.
06What can clients and foremen see?
Clients see their own project, shared photos and client documents. Foremen can manage tasks, schedules and shift corrections without seeing other workers’ pay. Workers can view their own hours and pay history.
07Is a quote the same as an estimate?
In CrewHub it’s a quote: your client approves it from their phone, and after that the amounts don’t change. Extra work goes on a new quote. When the job is done, the approved quote becomes the invoice.
08Does CrewHub pay my crew automatically?
CrewHub calculates pay totals from recorded hours and rates, provides exports and lets you record payments. You make the actual payments through your usual payment method.
09Does CrewHub do payroll deductions?
No. CrewHub totals hours and pay from clock-ins and your rates. CPP, EI and income tax deductions stay with you or your bookkeeper — the Excel export gives them the hours and amounts.
10Do I need a credit card for the trial?
No. You can try CrewHub for 14 days without entering a credit card. All features are included in the trial.
11Is there an iPhone or Android app?
The iPhone app is in Apple’s review and the Android app is in Google Play testing. You don’t have to wait: open CrewHub in your phone’s browser and add it to the home screen — same account, same data. Companies that start before the iPhone app is in the App Store get 50% off their first 2 paid months. How to install it on your phone →
