Answers for contractors

Crew hours, pay, quotes and HST invoices — short answers

The questions small construction crews in Ontario ask most, answered in plain words. Each answer says what works in general, then how CrewHub does it.

Hours and the crew

How do I track my crew's hours on job sites?

Have each worker clock in and out on their own phone at the job site, not at the end of the week from memory. Paper timesheets and texts lose hours and invite rounding. In CrewHub a worker taps Clock in when they arrive. The app records the time and the location, so you see who is on which job right now, and the hours are ready for payroll.

How do I stop paying for hours that weren't worked?

Pay from recorded clock-ins, not from what someone remembers on Friday. CrewHub records where each shift started. A shift with no location is flagged for you to review, and if anyone changes a day you have already paid, you confirm or decline the change.

How do I know my workers are actually at the job site?

Check where the shift starts, and whether someone leaves the site — not a minute-by-minute route. CrewHub takes the phone's location when a worker clocks in and shows whether it is inside the job site's area. During an open shift, while the app is open, it notes only when someone leaves the area or comes back. It does not record a route, and nothing is recorded after the shift ends.

My crew moves between several sites in one day. How do I track that?

Track time per job, not per day. In CrewHub a worker clocks out of one job and into the next. The app picks the job by where they are standing, or asks them to choose, so each job gets its real hours and you can see what every job costs in labour.

Does my crew need special phones or a paid app?

No. CrewHub works on the phones they already have — iPhone or Android, in the browser, and it can be added to the home screen like an app. Workers do not pay anything; you choose a plan by how many workers you have.

My crew speaks different languages. Can they use the same app?

Yes, if each person can choose their own language. In CrewHub every worker picks English, Ukrainian, Spanish, French or Russian for themselves. You keep using English, and everyone sees the same jobs and shifts.

What happens if there's no signal on site?

Clock-ins should still save. In CrewHub a clock-in or clock-out is saved on the phone and sent when the connection comes back. Other features may need a connection.

Can my foreman run the crew without seeing everyone's pay?

Yes. In CrewHub a foreman can manage tasks, schedules and shift corrections, but does not see other workers' pay. Workers see only their own hours and pay history.

Pay and payroll hours

How do I get payroll hours to my bookkeeper?

Send one file with hours and pay per worker. Don't send screenshots of texts. CrewHub totals each worker's hours and pay from their clock-ins and your rates, and exports it to Excel together with payments, invoices and the HST you collected. CrewHub does not calculate CPP, EI or income tax — your bookkeeper does that from the file.

Some of my guys work for a day rate, not by the hour. Can I track that?

Yes. In CrewHub a shift can be paid by the hour or for the day, with a fixed amount for that day whatever the hours. Hourly and day-rate work show up in the same pay totals.

How do I handle overtime for my crew?

Set the rule once instead of working it out every week. In CrewHub you set overtime per worker — after a number of hours a day or a week, at the multiplier you pay — and the pay totals apply it. In Ontario the usual standard is overtime after 44 hours a week at 1.5 times the rate, but some construction jobs have their own rules: check the Employment Standards Act guide for your trade.

How do I pay back a worker who bought materials with their own money?

Ask for the receipt the same day, not at the end of the month. In CrewHub the worker adds the purchase with a photo of the receipt and marks it as their own money. You see it with their hours, and it is paid back together with their pay.

Does the app pay my workers?

No — and that is on purpose. CrewHub works out how much each worker is owed from their hours and rates. You pay the way you already do — e-Transfer, cheque, cash — and then tap Mark as paid, so you always know who has been paid up to which day.

Quotes and invoices

What is the easiest way to make an invoice with HST in Ontario?

Put your business name, your HST number, the date, your client's name, what you did, and the HST at 13% on its own line. For a one-off invoice, use our free HST invoice generator: fill it in and download the PDF, no sign-up. If you invoice every week, CrewHub turns the quote your client approved into the invoice in one tap.

Should I send a quote or an estimate?

Send a quote when the price is fixed. An estimate reads as a rough guess that can change, and that is where arguments start. In CrewHub your client approves the quote from their phone, and after that the amounts do not change. Extra work goes on a new quote.

What should a contractor's quote include?

What you will do and what you will not, materials and labour, the price before and after HST, how long the price is good for, and how you want to be paid. A clear scope saves more arguments than a low price. In CrewHub a quote carries your details, the lines with HST, and a valid-until date, and your client approves it from their phone.

How do I get a client to approve a quote before I start?

Send the quote somewhere the client can say yes with one tap, and keep that yes on record. In CrewHub the client opens the quote on their phone and approves it. You see that it was approved, and the approved quote becomes the invoice when the job is done.

How do I charge for extra work the client asks for mid-job?

Put it on a separate quote before you do it, and get it approved. Changing the original price after the client agreed to it is how disputes start. In CrewHub the approved quote stays as it was; the extra work is a new quote, and both can go on the final invoice.

Can I send an invoice from my phone?

Yes. In CrewHub you make the invoice on your phone and email it to your client from the app, or share the PDF through WhatsApp, text or any app on your phone.

How do I get paid faster?

Invoice the day the job is done, put how to pay on the invoice itself, and follow up without making it personal. CrewHub can show your Interac e-Transfer details on every invoice, and you can switch on automatic email reminders to clients about unpaid invoices.

Is there a free invoice template for contractors in Ontario?

Yes — our HST invoice and quote generator is free and needs no account. It adds HST at 13% for Ontario or the rate for your province, and gives you a PDF you can send straight away.

Clients

How do I keep my client updated without calling every day?

Give the client one place to see their own job. In CrewHub clients join free. They see their project, the photos you choose to share and their documents, and they can message you there instead of texting your personal number.

What can my client see?

Only their own project: the photos you share, their quotes and invoices, and their messages with you. Clients never see your crew's hours or pay, or your other jobs. Clients are free and do not count toward your plan.

Getting started and cost

How much does crew management software cost for a small contractor?

Many tools charge per person, which adds up as the crew grows. CrewHub has one price for the whole crew, and every feature is on every plan: C$14.99 a month just for you, C$34.99 for up to 3 workers, C$49.99 for up to 7, C$79.99 for up to 15. Clients join free. Try it for 14 days, no credit card.

I only have 2 or 3 guys. Do I even need an app?

If you are adding up hours from texts on Sunday night, or re-typing quotes into invoices, yes — that is the time an app gives back, and it matters more when you are also on the tools yourself. Start with one active job and the people on it. If it does not save you time in two weeks, you have lost nothing.

Is there an iPhone or Android app?

The iPhone app is in Apple's review and the Android app is in Google Play testing. You don't have to wait for them: open crew-hub.ca in your phone's browser and add it to the home screen — it opens like an app, with the same account and data. Here is how, step by step. Companies that start before the iPhone app is in the App Store get 50% off their first 2 paid months.

Do I have to move my whole business over?

No. Start with one active job and the people working on it. Track their hours and keep the job's updates in CrewHub, then bring more of your work in as you are ready.

Who can see my numbers?

You decide. Your pay rates and totals are visible to you, not to your foremen or workers; clients see only their own project. CrewHub does not sell your data. Our privacy policy says what is kept and why.

What happens to my records if I stop using it?

They are yours. Export your hours, pay, payments and invoices to Excel before you go, and you can delete your account from the app whenever you want.
